GEDYS IntraWare 7 Office allows you to capture and manage all your communication activities with customers, suppliers and business partners. Each electronic profile displays all the documents, processes, information, appointments and tasks relating to a contact at a glance. The structured representation of your organization, including templates and storage systems, enables you to store business knowledge centrally, allow it to be edited locally by individual employees and still find it again quickly.

Role-based navigation guides you through the intuitive interface, making work easy even in complicated installations. Employees only have access to the information that they need in relation to their role or task. Data is stored correctly and information can be found quickly. New staff are up and running quickly and efficiently.

Mobile workers can exchange data with the central server at any time. Office also allows you to link and synchronize any contact information safely with Palm, Handheld and Pocket PCs via the Mobile CRM module.

With the new Web add-on module you can access your customer information from anywhere in the world. This means that everyone can work completely flexibly and with the latest data from wherever they are – even when traveling or at home.

Entering addresses, writing letters, faxes and e-mails, managing appointments, monitoring tasks – these and similar tasks make up the office routine. The Office module automatically copies data such as address, fax and telephone number into your correspondence documents and documentation. Individually defined text modules and templates for IBM Lotus Notes, OpenOffice and Microsoft Office turn creating correspondence into child’s play. They save time and enhance quality.

With GEDYS IntraWare 7 Office you can create and monitor tasks that you forward to individuals or groups. The unique assignment to customers and employees, along with the automatic reminder feature, combine to help you work more efficiently. You always maintain an overview of outstanding jobs and their processing status.

Lotus Sametime features tell you when a colleague you need information from is at their desk so you can immediately engage them in conversation via chat,Saving you time and making your staff more productive.

The new CTI Interface add-on module helps you with your daily phone calls. Incoming faxes arrive in your mailbox immediately and are stored in electronic folders. You can also dial a phone number directly from the address. When calls come in you receive all important information about the caller directly on your screen. And of course, any calls that arrive while you are away are documented and presented as a call-back list. Your mailbox acts as your personal answering machine with personalized call messages. Voicemail messages arrive quickly and conveniently via e-mail.

Personalized forms

Create your own information and communication templates based on your company’s standards. Use automatic placeholders to copy master data or data from third-party systems into your documents and print templates and use them to confirm appointments or terms and conditions, etc.

GEDYS IntraWare 7 Office lets you configure all your forms to your individual needs. And by integrating the additional Workflow module, you can also manage these forms and processes, for example when setting dunning blocks, issuing credit notes, verifying contracts or approving quotations.


Full e-mail integration

GEDYS IntraWare 7 Office is the optimum platform for your e-mail communication. Incoming and outgoing e-mails are automatically documented in the electronic profile. The Office module makes e-mail content available to all employees, thereby enabling structured access to all the company’s e-mail know-how.

The integrated mailing wizard in the Contacts module helps you to create high-volume mass mailings. You create your correspondence template and select the mailing list. Intelligent agents copy the letters, along with the country-specific salutation, address and mailing format into e-mails, letters and faxes. The dispatched mailings are documented in the address document. If necessary, you can store the letters in the electronic profile.

A free PDF generator is integrated to ensure a perfect printout and secure mailing with no possibility of manipulation. You can therefore define customized print templates and use them to print any documents, overviews and forms. Combine any data from different documents dynamically in the print templates, retain them for long periods as PDF files, or print them as high-quality printouts.


International deployment

Office is a multilingual application, so all employees can use the same application wherever they are based. They simply select the language for their working environment in the settings. Which means it’s easy and quick to create reports even across different countries. International mailings and correspondence are produced in the correspondence language stored in the contact document and combined with the appropriate template in a single step.

Our new Language Configuration technology allows companies to translate some or even all of an application into any language themselves – without the need for additional programming. International companies find that this increases the acceptability of the software in other national organizations.
