Schedule supplements your IBM Lotus Notes calendar with numerous features for planning appointments for groups, people and resources. Schedule collects all the activities from individual IBM Lotus Notes/Domino calendars and combines them in one group database. "Private" appointments remain private. Each group in your organisation receives its own calendar. Employees can belong to more than one group. Each group member receives all the information that they need – whether by department or across departments. One click is all it takes to call up different views containing information on the availability of employees, groups and resources.

Save on lengthy phone calls to arrange appointments and meetings. Schedule gives you a detailed overview of all the members of your group. You can see not only when someone will be busy, but also which activity they are ­currently working on. 

The integrated Lotus Sametime feature shows when people are online, so you can chat with them immediately and exchange information.

The integrated free-time over view simplifies the planning of appointments for individuals and/or groups.

Views display the information you need, in a clear and simple structure, for example by day, person, group or customer. Graphic symbols help you to identify and organise appointments.

The new actioncenter simplifies overview and classification of the appointments. You can also see the planned and taken holidays of your group as well as integrated red-letter days. Thus make it easier to plan tasks and projects.


Time-saving appointments entry

Schedule helps you to enter appointments with convenient input assistance for appointment types and categories and appointment descriptions, support for recurring appointments and lists of people and groups. Staff are notified of new appointments by email. In conjunction with the GEDYS IntraWare 7 Contacts and Office module, you can assign appointments to different contacts.

The group schedule gives you a rapid overview of a team's appointments. You can see when everyone is free at a glance.

Create meaningful appointment reports by person and team for the next sales meeting. This allows you to document monthly workloads and availability of people and resources. The views also make transparent vacation planning possible within a team and across the organisation.


International deployment

Schedule is a multilingual application, so all employees can use the same application wherever they are based. They simply select the language for their working environment in the settings.

Our new Language Configuration technology allows companies to translate some or even all of an application into any language themselves without the need for additional programming. International companies find that this increases the acceptability of the software in other national organisations.


Easy administration

When you create Schedule groups you can select people and groups from the Domino Directory. You can even create multiple nested groups. You can also copy people's membership of groups and use this later to evaluate the entries.

It is also possible to synchronise the groups used in the Domino Directory with Schedule. This automatically takes account of people who have just joined or just left a group rendering extra administrative work unnecessary.

As well as automatically assigning people to groups in the Domino Directory, Schedule gives you the option to create your own group definitions and assignments. Schedule can even manage appointments for people working on remote servers and domains; the assignment is made automatically using the server name.

The possible configurations are almost limitless. The integrated programming interface (API) allows you to integrate individual requirements without modifying the standard product. This ensures that update compatibility is retained.

You can also customise individual mail templates. For example, you can extract and assemble the contents of custom fields in the calendar entries. The same goes for custom extensions to contact documents in the Domino Directory.

The logging of every agent run, together with automatic log management, provides administrators with a permanent view of the activities of individual agents.
